How to use Virtual FAX

Virtual Fax Application

Overview

Zycoo IPPBX is built on the Asterisk platform and supports the standard SIP protocol. It can connect to IMS SIP trunks from ITSPs (Internet Telephony Service Providers) as well as SIP endpoints.

This document provides instructions for sending and receiving faxes using the Virtual Fax application on the Zycoo IPPBX.


Virtual Fax Setup Guide

1. Send Fax

Step 1.1: Log in to the IPPBX Web Portal

Log in to the IPPBX web interface using the admin account.

Step 1.2: Navigate to IP Extensions

  1. Navigate to Telephony → Extensions → IP Extensions

Step 1.3: Enable Web Login for Extension

Click the Edit button for extension 809, then enable Web Login.


Step 1.4: Log in as Extension User

  1. Log out from the admin user account

  2. Log in again using extension 809 and its extension password


Step 1.5: Access Fax Feature

After logging in, click the Fax icon.

Step 1.6: Send a Fax

Configure the following parameters:

Important: After the file has been completely uploaded, click the Send button. Please ensure that your system can make outbound calls successfully before sending a fax.

Step 1.7: Check Fax Log

After several minutes, you can check the Fax Log to verify the status of the sent fax.



2. Receive Fax

Method A: Receive Fax via FXO Trunk

  1. Navigate to Telephony → Outbound Control → Trunks

  2. Click the Edit button for the FXO-1 trunk

  3. Configure the Fax Destination for the trunk


Result: When a fax is sent to the FXO-1 port, the system will automatically handle the fax reception.

Method B: Receive Fax via SIP Trunk or E1 Trunk

For SIP or E1 trunks, you may need to configure DID routing to the fax destination:

  1. Navigate to Telephony → Inbound Control → Direct Routing

  2. Click the Add button to create a fax destination

  3. Configure the DID to point to the fax destination


Result: You can now receive faxes from outside calls routed via DID.

Method C: Receive Fax via IVR

If you have an IVR prompt configured, you can set a key press option to route calls to fax:

  1. Navigate to Telephony → Inbound Control → IVR

  2. Click the Edit button for the desired IVR

  3. Configure a key press (e.g., press 1) to route to Fax


Check Fax Log for Received Faxes

  1. Navigate to Reports → Log → Fax Log

The Fax Log will show all received faxes and their status.



3. Fax to Email

Step 3.1: Navigate to IP Extensions

  1. Navigate to Telephony → Extensions → IP Extensions

Step 3.2: Configure Email Address for Extension

Click the Edit button for extension 809 and fill in the Email Address field.

Step 3.3: Configure Mail Server Settings (Prerequisite)

Important: Before Fax to Email can function, you must first configure the Mail Server Settings under System → Email Services.

Once the mail server is properly configured, received faxes will be automatically sent to the configured email address.
